Refund Policies

CANCELLATION, REFUND and SAFETY POLICIES

Please note that our refund policies reflect expenses and other costs that cannot be recovered when a reservation is cancelled.  It’s not personal.  Certain trips may require exceptions that are different than the policies listed below.  Please read the individual trip details carefully.  If you need to request a refund that is allowable within our policy, please contact us as soon as possible and we will take care of it.  If you are not sure, contact us and ask.   631-741-3765.  We recommend that you protect your trip with travel insurance, especially for longer trips.

*** COVID UPDATE: Due to the COVID-19 Pandemic, we recognize the impact of uncertainty on all of us and will give 100% credit for Overnight Backpack cancellations 1 – 4 days before a trip.  Refunds may be given if the cancellation is related to COVID-19.  Refunds and credits may not include third party costs such as lodging or access fees if these costs cannot be recovered from the third party.  If you need to cancel, we greatly appreciate you giving as much advanced notice as possible.

Cancellations:

Day Trips

  • For cancellations 10 days or more before a scheduled trip full refund will be given.
  • For cancellations 1 to 9 days before a scheduled trip, 100% credit towards a future trip will be given.
  • No refund or credit will be given within 24 hours of a trip, including no-shows and late arrivals.

Overnight Backpacks

  • For cancellations 15 days or more before a scheduled trip full refund will be given.
  • For cancellations 5 to 14 days before a scheduled trip, 100% credit towards a future trip will be given.
  • For cancellations 1 -4 days before a trip, a 50% credit towards future trips will be given.
  • No refund or credit will be given within 24 hours of a trip, including no-shows and late arrivals.

Multi-night trips – Domestic

  • For cancellations 91 days or more before a scheduled trip a full refund will be given.
  • For cancellations 61 to 90 days before a scheduled trip a 100% credit for future trips will be given. Some trips may require specific fees for any cancellations.  Please read the trip details carefully to determine if there are exceptions to this policy.
  • For cancellations 31 to 60 days before a scheduled trip, a 50% credit towards a future trip will be given.
  • For cancellations within 30 days of a trip no refund or credit will be given.
  • Eastern Outdoor Experiences is not responsible for any participant expenses, including airline tickets or other travel to the trip meeting location, meals not included in a trip, etc.

International Trips

  • For cancellations 121 days or more before the scheduled departure full refund less a $100 will be given.
  • For cancellations 61 to 120 days before a scheduled trip departure, a 50% refund will be given.
  • For cancellations within 60 days of a scheduled trip departure no refund or credit will be given.
  • Eastern Outdoor Experiences is not responsible for any participant expenses, including airline tickets or other travel to the trip meeting location, meals not included in a trip, etc.

Weather and Safety

  • Most day hikes and backpacks will go on as planned if there is a forecast of moderate rain or snow.
  • Eastern Outdoor Experiences may cancel a trip due to a forecast of severe weather or other anticipated dangerous conditions. If this happens, you will be notified at least 12 hours before the scheduled trip and will be given full credit towards a future trip.
  • Eastern Outdoor Experiences may modify the itinerary or duration of an in-progress trip due to severe weather or other adverse conditions. No refund or credit will be given.
  • Unruly or uncooperative participants posing a danger to the trip leader, other participants, or to themselves may be removed from the trip at the discretion of the trip leader. There will be no refunds or credits given to the removed participant.
  • Eastern Outdoor Experiences is not responsible for any participant expenses, including airline tickets or other travel to the trip meeting location, meals not included in a trip, etc.
